Selecting Atlanta Event Venues For Your Program

By Denzo A. Larman

As a program organizer, one of your major concerns is are the Atlanta event venues for your function. The venue, since it affects the other aspects of the programs, plays a major role in the outcome of the function. Therefore, you need to make sure that you select the most appropriate location for the gathering. Consider these things.

Your goal will determine the type of place you will need. Get a list of activities that the facilitators intend to have the participants do during the gathering. Take note that some speakers may require them to move between seats to get acquainted with the other people in the gathering. Some warmer and icebreaker activities may also require some space.

Determine the size of the crowd beforehand to look for the best location for your program. The place should be large enough to accommodate not just the participants but also the crew, caterer and equipment for the activity. Encourage early sign ups so that you will know your expected number of attendees weeks before the program.

Select a location that is accessible by car or public transport. If you expect many people will drive their own cars, make sure that there is sufficient parking space at the location. For those who will take a bus or train, the place should be accessible from bus stops and train stations. You may also provide a map or direction for their convenience.

Your facilitators and speakers may require additional equipment. Check with them if they need anything other than a laptop, projector and sound system. Ask them if they also intend to do activities that will need an internet connection. Notify the venue administrator about the number of your expected people so that they can provide each access to the internet.

Your budget may limit your choice of locations for your program. To reach out to more participants for your program, you should offer it at an affordable rate. However, you also have to make sure that you will get enough revenue to cover your expenses. Maximize the location's capacity to increase your revenue.

By balancing these factors, you can ensure that the conference will be successful for both the organizer, speakers and participants. To be able to accommodate everyone's needs and expectations, you can ask your speakers and participants a few weeks ahead about their goals. The information should help you make adjustments if necessary.
